Student Records Requests

One address for student records — transcripts, cumulative files, immunization records, and records transfers. Most of our requests come from other school districts enrolling a former Noble student; families and alumni are welcome here too. Tell us who the student is and what you need, and we’ll take it from there.

For School Districts Requesting Records

If a former Noble student has enrolled with you, send us a records request and we will transfer their file. This is the majority of what comes through this office, and we turn these around as quickly as we can — we know you have a student sitting in a classroom waiting on a schedule.

What to send us

  • Student’s full legal name and date of birth — plus any former name, which is how we find older files.
  • Which records you need — cumulative and grades, attendance, immunization and health, special education, discipline, testing, ELL/LEP, birth certificate, or the complete file.
  • Your district or agency name, address, phone, and fax
  • Where to send the records — secure email, fax, or mail, whichever your district prefers.
  • Signature of your registrar or records custodian

Special education records — tell us up front

If the student received special education services, say so in your request. Those records are held separately, and flagging them at the start keeps us from sending you a partial file and starting the clock over.

How to send it

You are welcome to send your own district’s form or letterhead — we accept either. If it’s easier, our form is fillable: open it, type directly into the boxes, save, and email it back. No printing required.

Who Can Request Records

Student education records are protected by the Family Educational Rights and Privacy Act (FERPA). Records are maintained and released in accordance with FERPA and 34 CFR § 99.31. We release them to:

  • Parents and legal guardians — of a student who is under 18 and currently enrolled, or who was enrolled at Noble.
  • Students age 18 and older — once a student turns 18, FERPA rights transfer from the parent to the student, and the student makes the request directly.
  • Former students and alumni — no matter how long ago you attended, we can look for your record.
  • Another school district — a district a Noble student has transferred to may request records directly; no parent signature is required for a school-to-school transfer.
  • Employers, colleges, attorneys, and other third parties — with a signed, dated release from the parent/guardian or the adult student attached to the request.

A note on custody. Unless a court order on file with the district says otherwise, both parents have equal access to their child’s education records. If a court order limits access, please make sure the district has a current copy on file.

What You Can Request

A student’s education record is made up of several parts. Tell us which of these you need — you can ask for one, several, or the complete file:

  • Grades and cumulative records — the core academic file, including coursework and grade history.
  • Attendance records — enrollment and attendance history for the years attended.
  • Immunization and health records — shot records and health information kept in the student’s file.
  • Special education records — IEPs, evaluations, and related services documentation.
  • Testing records — state assessment results, including OCCT.
  • Discipline records
  • ELL / LEP records — English language learner program documentation.
  • Birth certificate — if a copy is on file with the district.
  • Verification letter — written confirmation of enrollment, attendance, or graduation, often needed for employers, insurers, or the military.

What to Include in Your Request

Including all of this in your first email saves a round of back-and-forth and gets your records to you faster:

  • Student’s full legal name — as it was at the time of attendance, plus any former or maiden name.
  • Date of birth — this is how we confirm we’ve found the right student.
  • Years attended and which Noble school — Daily, Hubbard, Pioneer, Curtis Inge Middle School, or Noble High School.
  • Graduation year or last grade completed
  • Exactly which records you need — pick from the list above, or say “the complete file” if you want everything.
  • Where the records should go — an email address, mailing address, or the name of the receiving school or organization.
  • Your name, your relationship to the student, and a phone number — so we can reach you if we need to verify anything.
  • A signed, dated release — only if you are a third party requesting someone else’s records.

Please don’t send sensitive numbers by email

We do not need a Social Security number to find a student record, and we ask that you not include one in your email. A name, date of birth, and years attended are enough. If we need anything more to verify your identity, we’ll call you.

In a hurry for an immunization record? If your student is enrolled right now, your school nurse can often pull it the same day — try nurse@nobleps.com or (405) 872-7671. Either route works; the nurse is just usually faster for a currently enrolled student.

How It Works

  1. Email your request

    There is no form to fill out. Send everything from the list above to RecordRequest@nobleps.com. One email per student, please — it keeps siblings’ records from getting crossed. You’re welcome to call (405) 872-3452 instead if email isn’t easy for you.

  2. We confirm who you are

    Before any record leaves the district we verify that you have the right to receive it. If your request is missing something, or if we need a signed release or a copy of your photo ID, we’ll email you back and tell you exactly what we need.

  3. We locate the record

    Recent records are pulled from our student information system. Older records — especially for students who attended many years ago — may be in archived or paper files, which takes a little longer. We’ll let you know if yours falls into that group.

  4. We send it where you asked

    Records go to the address or organization you named in your request. School-to-school transfers are sent directly between districts. We’ll confirm by email once your records are on their way.

How long will it take? Most requests are completed within seven business days of the day we receive everything we need. Requests that arrive during school breaks, or that involve archived paper records, may take longer — we’ll tell you if that’s the case rather than leaving you wondering.

If you’re working against a college, scholarship, or enrollment deadline, say so in your email and we’ll do everything we can to meet it.

Not Handled at This Address

These requests go somewhere else — sending them to the records mailbox will only slow you down.

Open Records Act Requests

Public Records

Requests for district budgets, contracts, board minutes, policies, or other public records fall under the Oklahoma Open Records Act, not FERPA. Student education records are specifically exempt from the Open Records Act. See Open Records Requests for how to submit one — much of what people ask for is already published online.

Transcripts & Diplomas

High School Office

Noble High School transcripts — for current students and alumni alike — are ordered through Parchment, which charges a per-transcript fee at checkout. For a replacement or duplicate diploma, call the high school office at (405) 872-3441.

Grades, Attendance & Report Cards

Currently Enrolled

If your student is enrolled now, this information is live in the PowerSchool Parent Portal. For a question about a specific grade or assignment, start with your student’s teacher or counselor.

Your Rights Under FERPA

The Family Educational Rights and Privacy Act gives parents — and students once they turn 18 — four specific rights over education records:

  • Inspect and review — you may review your student’s education records. Contact us to schedule a time.
  • Request a correction — if you believe a record is inaccurate or misleading, you may ask the district to amend it.
  • Control disclosure — with limited exceptions written into the law, the district must have your written consent before releasing personally identifiable information from a student record.
  • Opt out of directory information — items like name, grade level, activities, and honors may be released as directory information unless you tell the school in writing not to. Notify your student’s principal within two weeks of enrollment.
