New Phone System

Welcome to your new desk phone! Classrooms are getting the FortiFone 480B and offices the 780B — they work the same way, and setup takes just a couple of minutes.

Getting Started

Four quick things and you’re done. Most phones are ready to use the moment they’re plugged in.

  1. Check your box label

    The label on your phone’s box shows your room, your name, your extension, and your voicemail PIN. Keep the label private — your PIN is on it.

  2. Plug it in

    Connect the phone to the network jack — it gets its power over the network cable, so there’s no power adapter to find. The phone sets itself up automatically, and your name and extension appear on the screen. If the screen shows anything else after 10 minutes, contact IT (see Get Help below).

  3. Set up your voicemail (about 2 minutes)

    Press the Envelope key and enter your PIN. Then:

    Press 0, then 3 to record your name.

    Press 0, then 1 to record your greeting (example: “You’ve reached Ms. Smith in room M302, please leave a message”).

    Press 0, then 5 if you’d like to change your PIN (optional).

  4. Voicemail comes to your email, too

    Every voicemail also arrives in your school email as an audio attachment, so you can listen from anywhere — even away from your desk.

Emergency Calls

911 works — dial it directly. You do not need to dial 6 first. Never hesitate to call 911 in an emergency.

Get to Know Your Phone

Both models have the same everyday buttons. Office phones (the 780B) have a large touch screen, so you’ll tap buttons on the screen instead of pressing keys — everything else works the same.

  • Speakerphone — talk hands-free; press again to switch back to the handset.
  • Mute — glows red when it’s on. While muted, your caller can’t hear anything on your end.
  • Hold — parks your caller with music; press again (or Resume) to pick the call back up.
  • Transfer — sends a call to another extension.
  • Conference — adds a third person so all of you are on one call.
  • Redial — calls back the last number you dialed.
  • Envelope — your voicemail. A light on the phone tells you when a message is waiting.
  • Volume — during a call, adjusts what you hear; while the phone is idle, adjusts how loud it rings.

Making Calls

How do I call another room or office?

Just dial the 4-digit extension. That’s it — no prefix needed for anyone in the district.

How do I call an outside number?

Dial 6, then the number. Local calls need the area code, so a local call looks like 6 + 405 + the number.

Does 911 work?

Yes. Dial 911 directly — no 6 needed. Never hesitate in an emergency.

How do I transfer a call?

While on the call, press the Transfer softkey, dial the extension you want, then complete the transfer. The caller is connected and you’re done.

Want to give the other person a heads-up first? After dialing, stay on the line, let them know who’s calling, then complete the transfer.

How do I put someone on hold?

Press Hold during the call. Your caller hears music while they wait. Press it again (or Resume) to pick the call back up.

Can I make a three-way call?

Yes. During a call, press Conference, dial the third person, then press Conference again to join everyone together.

Voicemail

How do I check my voicemail?

Press the Envelope key and enter your PIN. Or skip the phone entirely — every voicemail is also sent to your school email as an audio attachment.

I forgot my voicemail PIN.

No problem — contact IT (below) and they can reset it for you.

Your Phone

Why does my phone ring differently sometimes?

Calls from outside the district ring differently than calls from inside, so you can tell them apart before you pick up.

What is the second line button on my phone?

Some staff have a personal direct number that rings on line 2 — that’s an outside caller dialing you directly. If you have a direct number, it’s printed on your box label.

What are the main office lines?

Each building’s main phone number rings on multiple office phones at once, so calls to the front office get answered quickly.

Someone said they “intercomed” my room — what’s that?

Office staff can open a two-way speakerphone announcement to a classroom phone. It answers automatically, so the office can reach a room instantly when they need to.

My phone isn’t ringing at all.

Two quick things to check: is the DND (Do Not Disturb) icon showing on the screen? Press the DND button to turn it off. And was the ring volume turned all the way down? Press Volume up while the phone is idle. If it’s still quiet, contact IT (below).

Can I change my ringtone or ring volume?

Sure. Press the Volume keys while the phone is idle to make it louder or quieter, and you can pick a different ringtone in the phone’s Settings menu.

Can I use a headset or the speakerphone?

Yes to both. Every phone has a full speakerphone — just press the Speaker button. Headsets work too (office phones even support Bluetooth); contact IT if you’d like help connecting one.

Can I move my phone to a different room?

Please don’t — your phone’s location helps emergency responders find the right room if 911 is ever called from it. If you’re changing rooms or something needs to move, contact IT and they’ll take care of it.

My phone screen is blank, says “no service,” or shows the wrong name.

Please don’t unplug it or factory-reset it — just contact IT (below) and they’ll get it sorted out.

Who do I contact for help?

The fastest way is to submit an IT workorder — it goes straight to the team and nothing gets lost. You can also dial extension 7800 from any district phone, or email support@nobleps.com.

Coming from the old Cisco phones?

  • Your extension stayed the same — no new number to memorize.
  • Voicemail is brand new — old messages did not transfer, so set up your new mailbox using the steps above.
  • Speed dials need to be re-added — IT can help you set up your favorites again.
  • The basics work the way you’re used to — hold, transfer, speakerphone, and conference are all still one button. The screen looks different, but your muscle memory will carry over.
